Chargeback Protection Policy

How LabCreated.Diamonds protects honest buyers and high-value loose lab-grown diamond orders with payment verification, secure shipping records, insured UPS delivery, and documented dispute review.

Last updated: June 2026

LabCreated.Diamonds uses chargeback protection procedures to protect honest customers, prevent unauthorized card use, and defend against false or fraudulent payment disputes.

Loose lab-grown diamonds are small, high-value items. Because of that, every order must be verifiable, securely processed, properly documented, and shipped through an approved insured delivery process.

This policy explains how we review orders, document fulfillment, handle payment disputes, and protect both the buyer and LabCreated.Diamonds from unauthorized transactions, false claims, and delivery abuse.

Why Chargeback Protection Matters

Chargebacks are designed to protect cardholders from unauthorized transactions. That protection is important.

However, chargebacks can also be misused when a buyer receives a high-value item and later disputes the payment without using the proper return, refund, or customer support process.

For that reason, LabCreated.Diamonds keeps clear order records, verification records, shipping records, tracking information, delivery confirmation, and customer communication records for high-value loose lab-grown diamond orders.

How We Protect Customers

Our verification and documentation process is designed to protect legitimate buyers from unauthorized card use, unsafe shipping, and delivery disputes.

Depending on the order, protection steps may include:

  • Billing name and billing address review
  • Shipping name and shipping address review
  • AVS billing street number and ZIP code review
  • Payment authorization review
  • CVV verification when available through the payment processor
  • Phone number validation
  • VOIP phone number rejection
  • Billing and shipping address consistency review
  • Fraud-risk review through checkout and payment tools
  • Government-issued photo ID verification when needed
  • Inventory and certification confirmation before shipment
  • Insured UPS delivery with adult signature required

These steps help make sure the order is legitimate, authorized, and eligible for secure insured delivery.

Order Verification Before Shipment

Before a loose lab-grown diamond ships, the order may be reviewed for billing accuracy, payment authorization, shipping accuracy, fraud risk, phone validity, address eligibility, diamond availability, certification details, and insurance requirements.

If an order does not meet the required verification standards, it may be delayed or canceled before shipment.

This is not meant to punish honest buyers. It is meant to prevent unauthorized card use and unsafe shipment of a high-value diamond.

AVS and Billing Review

AVS stands for Address Verification System. It helps confirm that the billing street number and ZIP code entered at checkout match the information your card issuer or bank has on file.

For high-value loose lab-grown diamond orders, AVS is an important fraud-prevention step.

If billing information does not match the card issuer’s records, the order may be delayed or canceled for security reasons.

Phone Number Verification

A valid mobile or landline phone number is required for high-value loose lab-grown diamond orders.

VOIP phone numbers are not accepted because they are commonly used in payment fraud, false-order attempts, and hard-to-verify transactions.

Orders using VOIP numbers may be canceled if the order cannot meet our verification standards.

Identity Verification When Needed

Some orders may require a government-issued photo ID before shipment. This is most likely when the order value is high, when payment or address information needs additional confirmation, or when fraud-screening signals require extra review.

ID verification is used to confirm payment authorization and protect against unauthorized card use. It is not used for marketing.

If required identity verification is not completed, the order may be canceled and refunded or voided depending on payment status and processor timing.

Billing and Shipping Address Protection

For security and insurance reasons, high-value loose lab-grown diamond orders may be required to ship to the verified billing address used at checkout.

Orders with mismatched billing and shipping details may require additional review or may be canceled if we cannot verify that the shipment is safe and authorized.

Shipping address changes, reroutes, delivery redirects, alternate pickup changes, and third-party address changes may be refused for security and insurance reasons.

Freight Forwarders and Third-Party Shipping

Orders intended for freight forwarders, package forwarding services, reshippers, third-party export addresses, or similar forwarding arrangements may be canceled.

LabCreated.Diamonds ships within the United States only, and the shipment must meet verification, security, and insurance requirements before release.

This helps prevent delivery disputes, unauthorized exports, lost packages, uninsured shipment problems, and false non-receipt claims.

Insured UPS Delivery Records

Approved loose lab-grown diamond orders ship by insured UPS service within the United States.

Adult signature is required for delivery. Tracking information is sent to the email address used at checkout after shipment.

Shipping records may be used to confirm dispatch, tracking progress, delivery status, adult signature, and delivery completion if a payment dispute or delivery concern occurs.

Fulfillment and Documentation Records

LabCreated.Diamonds may keep order and fulfillment records to support secure shipment and dispute defense.

Depending on the order, records may include:

  • Order confirmation
  • Payment authorization details
  • AVS and fraud-screening results
  • Customer communication
  • Verification requests and responses
  • Diamond certification details
  • Inventory confirmation
  • Shipment preparation records
  • Tracking records
  • Adult signature delivery confirmation
  • Return authorization records when applicable

These records help protect honest buyers and allow LabCreated.Diamonds to respond accurately if a dispute is filed.

When a Chargeback Is Not the Right First Step

If you have a problem with an order, contact LabCreated.Diamonds first so we can review the issue through the correct order, shipping, return, refund, or warranty process.

A chargeback is not the correct first step for ordinary questions, return requests, shipping questions, address issues, buyer’s remorse, or situations that can be handled through customer support.

Contacting us first allows us to review the order, explain the policy, provide the correct next step, and resolve legitimate concerns faster.

Examples of Improper Chargebacks

LabCreated.Diamonds may dispute a chargeback when the order records show that the transaction was authorized, verified, shipped correctly, delivered properly, or handled according to policy.

Examples may include:

  • The verified cardholder placed the order.
  • The order passed required payment verification.
  • The billing information matched required verification checks.
  • The order shipped to the approved verified address.
  • Tracking confirms shipment and delivery.
  • Adult signature confirms delivery.
  • The buyer did not follow the return authorization process.
  • The buyer attempted a return outside the return window.
  • The buyer kept the diamond and disputed the payment.
  • The buyer made a false non-receipt claim after confirmed delivery.
  • The buyer made a false unauthorized-use claim after verified order activity.
  • The buyer attempted to avoid return shipping, inspection, or policy requirements through a payment dispute.

Each dispute is reviewed based on the order records, payment records, shipping records, customer communication, and applicable policy.

Our Chargeback Evidence Package

If a payment dispute occurs, LabCreated.Diamonds may submit documentation to the payment processor, bank, card network, or dispute platform.

Depending on the order, the evidence package may include:

  • Order confirmation
  • Customer name and order details
  • Payment authorization records
  • AVS verification results
  • CVV verification result when available
  • Fraud-screening results
  • IP address or device metadata when available through the payment system
  • Customer communication records
  • Identity verification records when applicable
  • Diamond certification details
  • Fulfillment records
  • Shipment tracking
  • Adult signature delivery proof
  • Return authorization records when applicable
  • Refund or cancellation records when applicable

This documentation helps the processor or bank review the dispute accurately.

Returns Must Use the Return Policy

If you want to return an eligible loose lab-grown diamond, the return must follow the Returns & Refund Policy.

Do not use a chargeback as a substitute for the return process. Approved returns must be authorized, shipped back with the approved insured UPS return label, received within the required return window, inspected, and approved before refund.

The buyer is responsible for return shipping on approved returns. The cost of the approved insured return label is deducted from the refund amount.

Delivery Concerns Must Use the Shipping Process

If tracking shows a delivery issue, contact LabCreated.Diamonds promptly.

Delivery concerns must be handled through the approved UPS, insurance, and order review process. Do not attempt unauthorized reroutes, informal delivery changes, third-party pickup changes, or unsupported delivery arrangements.

Do not discard packaging, labels, delivery notices, photos, tracking records, or shipment materials if there is a delivery concern. These may be needed for carrier, insurance, or order review.

Fraudulent or Abusive Disputes

LabCreated.Diamonds may contest disputes that appear false, fraudulent, abusive, inconsistent with the order records, or inconsistent with the applicable policies.

This may include false unauthorized-use claims, false non-receipt claims, return abuse, delivery abuse, altered evidence, missing returned items, or attempts to keep a delivered diamond while reversing payment.

Fraudulent or abusive disputes may result in order cancellation, refusal of future orders, evidence submission to payment processors, carrier review, insurer review, or other lawful remedies available to LabCreated.Diamonds.

What Honest Buyers Should Do

If something goes wrong, email contact@labcreated.diamonds with your order number and a clear explanation of the concern.

Clear communication helps us review the correct order and use the right process: shipping review, return authorization, refund review, warranty review, or documentation review.
